Beta Access Requests
When you submit the beta access form, we save your name, email address, optional coaching setup and message so we can review your request and reply. We also send a notification containing these details to our support inbox. We store request and notification status to help prevent duplicate submissions and manage follow-up. Please do not include student information in this form.
Account and Coach Profile Information
When a coach creates an account or profile, we may collect:
- Name
- Email address
- Phone number
- Coach title or profile details
- Business or coaching name
- Lesson rate reference
- Timezone and currency preferences
- Payment instructions such as GCash, Maya, bank transfer, or other manual payment details entered by the coach
Student and Parent or Guardian Information
Coaches may enter student and parent or guardian information into the app, including:
- Student name
- Student skill level
- Student rating information
- Chess.com, Lichess, FIDE, national federation, or local chess ID details
- Parent or guardian name
- Parent or guardian contact details
- Lesson schedules
- Homework assignments
- Progress notes
- Payment records
- External resource links attached to homework
Coaches are responsible for making sure they have the proper permission, consent, or authority to enter student and parent or guardian information into Chess Coach HQ.
Lesson, Payment, Homework, and Coaching Records
We may store coaching-related records, including:
- Lesson dates and times
- Attendance status
- Lesson status
- Homework records
- Homework status and review feedback recorded by the coach
- Payment status
- Amounts due and paid
- Manual payment notes
- Coach notes
- Notes intended for discussion with students
- Training resource links
- Progress tracking information
Chess Coach HQ does not currently process payments directly. Payment information entered into the app is for manual tracking and recordkeeping only.
Website and Usage Information
We may collect basic technical and usage information, such as:
- Device type
- Browser type
- Pages visited
- Login activity
- App usage activity
- Error logs
- General location information based on device or browser data
This information helps us maintain, improve, and secure the app.
2. How We Use Information

- Allow coaches to manage students, lessons, manual payment records, homework links, and notes
- Display coaching records inside the dashboard

We do not sell personal information.
3. Student and Minor Information
Chess Coach HQ may be used by coaches who work with children or students under the age of majority.
Coaches are responsible for obtaining appropriate consent from parents or guardians before entering information about minors into the app.
Coaches should avoid entering unnecessary sensitive personal information. Chess Coach HQ is intended for coaching management, lesson tracking, homework tracking, payment records, and student progress organization.
4. Coach Notes and Notes to Discuss
Coaches can save private coaching notes and notes to discuss during lessons.
Private coach notes are intended only for the coach and should not be visible to students or parents.
The current beta does not include student or parent accounts. Saving a note does not send it to students or parents.
Coaches are responsible for making sure the information they enter is appropriate, accurate, and necessary for coaching purposes.
5. Third-Party Links and Resources
Coaches may add external resource links such as YouTube, Google Drive, Vimeo, Loom, Chess.com, Lichess, or other websites.
Chess Coach HQ is not responsible for the privacy practices, content, security, or availability of third-party websites or services.
Users should review the privacy policies of any third-party services they access.
6. How We Share Information
We may share information only when necessary to operate and improve the service, including with:
- Hosting and infrastructure providers
- Authentication providers
- Database and storage providers
- Customer support tools
- Analytics or error monitoring tools
- Legal authorities when required by law
We do not sell your personal information to advertisers or third parties.
